Privacy Policy

Last updated: October 5, 2026

This policy explains what personal information Tee Pee Family Campground LLC (“we”, “us”) collects when you visit our website, make a reservation or sign a seasonal agreement, what we do with it, and the choices you have. We’re a small family campground in Upper Sandusky, Ohio, and we’ve tried to write this in plain English. If anything is unclear, please ask us.

Who we are

Tee Pee Family Campground LLC, 6499 State Hwy 199, Upper Sandusky, OH 43351.
Phone (419) 396-3042. Email teepeefamilycampground@gmail.com.

What we collect

When you make a reservation (online, by phone or in person):

  • your name, email address, phone number and billing address
  • your arrival and departure dates, the site type you choose and any site you ask for
  • the number of adults and children in your group
  • your camper or RV details: length and slide-outs, and for monthly and seasonal sites, the camper’s year and the hookups you need
  • any notes you give us

For seasonal campers, the paper Seasonal Campsite Use Agreement also asks for your mailing address, the vehicles you’ll bring, your pets, and the names and birth dates of children who’ll stay with you, along with your payment schedule.

Payment cards. You type your card details on Authorize.net’s secure payment pages, not on our website. We never see or store your full card number. Authorize.net keeps your card on file so that we can charge it under our Terms of Use (for example cancellation fees, unpaid balances, damages and metered electric). We get only the card type, the last four digits, and payment references. Our website keeps only Authorize.net’s reference numbers for your saved card, never the card itself. For cash and check payments we record the amount and date.

Bank accounts (eCheck) and autopay. Where we offer it, you can pay monthly rent, seasonal payments and electric bills from a bank account (eCheck), and you can save a card or bank account so electric bills or monthly rent are paid automatically (autopay). You type the account details on Authorize.net’s secure pages. Authorize.net keeps them as a saved bank account; we get only the account type, the last four digits and payment references, never the full account or routing number. When you turn autopay on or authorize a bank debit, we keep a record of your consent: the date and time, the exact wording you agreed to, what it covers and the account’s last four digits, so we can show what you authorized. You can turn autopay off or change the account at any time with the “Manage your payment method” link in any autopay email, or by calling us.

Electric use. For monthly and seasonal sites we record meter readings and electric bills.

Messages. When you use our contact form, email or call us, we receive what you send, such as your name, email address and message. Contact form messages come to our email. They aren’t stored on the website.

Website information. Like most websites, our hosting provider’s servers record technical details such as your IP address, browser type and the pages you request. WooCommerce saves the IP address and browser type with each online order, and our booking system briefly uses IP addresses to block abuse (such as too many holds on campsites).

Cookies. Our website uses a small number of cookies:

  • Booking and cart cookies (PHPSESSID, woocommerce_cart_hash, woocommerce_items_in_cart, wp_woocommerce_session_…) remember your dates and chosen campsite while you book. The booking won’t work without them.
  • Order source cookies (sbjs_…) come from a WooCommerce feature that notes how you reached our site (for example from a search engine, Facebook or by typing our address) and saves that with your reservation. We use it only to see how people find us.
  • A security cookie (__cf_bm) is set by our hosting provider’s network to tell people apart from automated bots.
  • Login cookies are used only when our staff sign in to manage the site.

We don’t use analytics, advertising or social media tracking on our website. The checkout and Pay online pages show a TrustedSite security badge, which is loaded from TrustedSite’s servers; they receive your IP address and browser details and count the visit to show the badge. The Contact Us page shows a Google Map, so Google receives your IP address and browser details when the map loads. Your browser loads our fonts from Google Fonts, so Google receives your IP address and browser details when you visit. The booking pages also load a script from Authorize.net. Our Facebook page is a plain link: Facebook’s own privacy policy applies when you visit it.

How we use your information

  • to take, confirm and manage your reservation, and to choose a campsite that fits your camper
  • to take payments and, under our Terms of Use, to charge the card on file for cancellation fees, no-shows, unpaid balances, damages and metered electric
  • to charge the autopay payments you turned on, and bank debits you authorized
  • to read meters and send electric bills
  • to send emails about your stay: confirmations, receipts, payment reminders, arrival information and bills
  • to run the campground safely: knowing who is staying with us, including children, pets and vehicles
  • to keep the business, tax and legal records we need
  • to answer your questions and requests
  • to protect our website and our campers from fraud and abuse

Who we share it with

We don’t sell your personal information, and we don’t share it with anyone for their own advertising. We share it only with the service providers who help us run the campground, and only as much as they need to do that:

  • Authorize.net and our card processor Global Payments, to process payments and keep your card or bank account on file
  • GoDaddy, which hosts our website and its database
  • Google, which provides our office email (Gmail) and the Google Sheets and Drive files where we keep reservation records
  • the software on our website: WordPress, WooCommerce and the booking plugins run on our own hosting account
  • our accountant or attorney, when we need their help

We may also share information if the law requires it, to protect someone’s safety, to collect money owed under our terms, or as part of a sale of the campground business.

Emails

We send emails that are part of your reservation or agreement, such as confirmations, receipts, reminders and electric bills. If you start a reservation and don’t finish paying, we may send you one reminder email. We don’t send a newsletter or promotional emails right now. If we ever do, we’ll send them only to people who say yes, and every one will have an easy way to unsubscribe.

Children

Our website isn’t meant for children under 13, and we don’t knowingly collect information online from children under 13. You must be 21 or older to make a reservation. We get information about children (the number in your group and, for seasonal sites, their names and birth dates) only from a parent or guardian, so we can register them. If you think a child has sent us personal information, contact us and we’ll delete it.

How long we keep it

We keep information only as long as we need it for the business, tax and legal purposes it was collected for, and then we delete or anonymize it. Our practice is:

  • reservations, payments and electric bills: 7 years after the end of the year they relate to
  • seasonal agreements: 7 years after the agreement ends
  • saved cards and saved bank accounts at Authorize.net: deleted within 12 months after your last stay or after your seasonal agreement ends. A monthly check deletes them automatically once you have no upcoming reservation or current agreement, nothing is owed (including electric bills) and autopay is off. If one of those still applies at the 12-month mark, we delete them at the first monthly check after it is settled. Our booking records and our website then drop their reference numbers too
  • an online reservation you don’t finish: when you start booking on our website, we set up a record at Authorize.net for your reservation (your email address and our reservation number, no card) before you reach the payment page. If you don’t finish paying, our website deletes that record automatically about a week later. We keep it only if it is being used for something else, for example a later reservation or autopay; then the rule for saved cards above applies
  • autopay consents and bank-debit authorizations (the record of what you agreed to, not the account itself): 7 years after the end of the year of the last payment they cover
  • emails we send you, seasonal requests that don’t become an agreement and contact form messages: 2 years. The monthly check removes the address and text of our emails from our booking records. Copies in our office mailbox, contact form messages and seasonal requests are cleared by hand every January, so a copy can stay there up to a year longer
  • website technical logs: kept by our hosting provider for its usual period

How we protect it

We use reasonable safeguards. Card details are entered and kept by Authorize.net, not by us. Our website uses an encrypted (HTTPS) connection. Only family members and staff who need it can see camper records. Paper agreements are kept at the campground office. No system is perfect, so if a security problem affects your information, we’ll let you know as the law requires.

Your choices

  • See, correct or delete your information: email or call us. We’ll check that the request is really from you. We may need to keep some records, for example for taxes, payments or disputes, an active reservation or agreement, or money that’s still owed. If so, we’ll tell you what we’re keeping and why.
  • Saved card, bank account and autopay: use the “Manage your payment method” link in any autopay email, or call us, to replace or remove them or to turn autopay off. A card on file is required while you have a reservation with us.
  • Cookies: you can block or delete cookies in your browser settings, but online booking needs the booking and cart cookies.
  • Emails: if we ever send promotional emails, you can unsubscribe at any time. Emails about your reservation will still be sent.

Changes to this policy

If we change this policy, we’ll post the new version here with a new “Last updated” date.
